The idea

One platform that follows the work.

Most small businesses run on a patchwork: one tool for quotes, a spreadsheet for projects, a folder full of PDFs, another package for invoices. Each piece works. The gaps between them are where time, details and money get lost.

MonkeyHQ is built around the opposite idea: a single system that follows the work from the first customer to the final invoice. What goes in once feeds everything that comes after it.

It is also our proof that design is only the beginning. The same studio that designs interfaces built the data, the roles, the documents and the workflows behind them.

The system

Customer to invoice, in one line.

Everything starts with the customer.

Each customer has a record that quotes, projects and invoices attach to, so the same details feed everything that follows.

A quote built from a catalogue.

Quote lines come from a catalogue. There are quote types for different kinds of work, including diagnostics and fault calls, and each one leaves as a PDF by email.

Work is organised as a project.

A project holds the job: its customer, its details, its planning and, when there is one, the quote it came from.

Technicians work from their own view.

Work orders, receipts, rides, photos and signatures are captured where the work happens, in an environment restricted to what a technician needs.

From finished work to invoice.

A completion report closes the job. Job costing compares the real work with the quote, and invoices go out as PDFs with a paid or unpaid status.

The people

Different roles see different things.

A business owner and a technician need different parts of the same system. In MonkeyHQ the owner manages customers, quotes, projects and invoices. Technicians sign in to a separate environment that shows their own work and nothing else.

That separation is not only drawn in the interface. It is enforced in the database with row-level security, so what a role may read or change is decided where the data lives.

The documents

From quote to work order to invoice.

Real work leaves a paper trail, and MonkeyHQ produces it: quotes as PDFs, work orders, a completion report that carries signatures from both the technician and the customer, and invoices as PDFs. Documents are sent by email straight from the platform.

Project photos and receipts are attached to the job they belong to, so the record of a job lives in one place instead of across phones, inboxes and folders.

The customer side

A quote the customer can accept online.

A quote reaches the customer with a personal link. They open it, review it and accept or decline it online. No account, no attachment to print and sign.

What the customer accepted is stored as a locked snapshot of the quote at that moment, so the agreement stays exactly as it was when they said yes, even if the quote is edited afterwards.
